1. General Aspects

This data protection declaration exclusively pertains to data collected as part of the online job application process and includes information about the handling of the candidate's personal data collected during this process.

3. Processing of Personal Data in the Job Application Process

Personal data includes information about the personal or material circumstances of an identified or identifiable natural person, such as name, address, telephone number, and date of birth, as well as information about their education, etc., that can be linked to a specific individual with reasonable effort. Any information that does not serve to directly or indirectly identify an individual does not constitute personal data.

4. Principles and Purposes of Personal Data Processing in Connection with Receiving Applications and the Job Application Process

When submitting an application electronically, whether via email or through our web form, the candidate’s personal data is collected and processed for the purpose of managing and processing the selection process and applying any relevant pre-contractual measures.
By submitting an application through our recruitment page, the candidate explicitly indicates their interest in working with us. The personal data provided in this context will be used and retained exclusively for job search and application purposes.
In particular, we will collect the following data:
  • Full name
  • Email address
  • Phone number
  • Other relevant data for the process
During the selection process, the candidate may also attach relevant documents, such as a cover letter, resume, and certificates, which may contain personal data, such as date of birth, address, etc.
Only authorized HR department employees or staff involved in the selection process will have access to your data.
The storage of personal data is solely for the purpose of filling the vacancy for which the application was submitted.
Candidate data will be retained for 365 days after the selection process concludes to comply with legal obligations or defend against claims. Subsequently, we are required to delete or anonymize your data. From that point, the data will only be available as metadata without direct personal reference for statistical purposes (e.g., the percentage of male and female applicants, the number of applications per period, etc.).
Additionally, we reserve the right to retain candidate data to include it in our talent pool for 725 days after the selection process concludes, to identify any other positions that may be of interest to them. This also applies to applications for training or internship positions. By accepting the privacy policy, the candidate expressly consents to the possible extended retention of their data and inclusion in our talent pool.
If during the selection process the candidate receives and accepts a job offer, the personal data collected during the selection process will be retained at least for the duration of the employment relationship.

5. Transfer of Data to Third Parties

Data provided as part of the application is transmitted via TLS encryption and stored in a database. This database is operated by Personio GmbH, which distributes candidate and human resources management software (https://www.personio.es/legal-notice/). In this context, Personio acts as our data processor in accordance with Article 28 of the GDPR. The basis for processing is the data processing agreement (DPA) concluded between us, as the data controller, and Personio.

6. Rights of the Data Subject

Insofar as we, as the data controller, process personal data, the candidate has certain rights as a data subject under Chapter III of the GDPR, depending on the legal basis and purposes for which the data is processed. These rights include the right of access (Article 15 of the GDPR), the right to rectification (Article 16 of the GDPR), the right to erasure (Article 17 of the GDPR), the right to restriction of processing (Article 18 of the GDPR), the right to data portability (Article 20 of the GDPR), and the right to object (Article 21 of the GDPR). Whenever the processing of personal data is based on their consent, pursuant to Article 7(3) of the GDPR, the candidate has the right to withdraw this consent at any time.
To exercise these rights as a data subject in connection with data processing during the online job application process, please contact the data protection officer (see Section 2).

7. Final Provisions

We reserve the right to modify this data protection declaration at any time to comply with current legal requirements or to reflect changes made to the application process or similar procedures. In such cases, if the candidate revisits this recruitment page or submits a new application, the updated data protection declaration will apply.

Processing of (personal) data by the operator of the recruitment website

General information

This recruitment website is operated by Personio SE & Co. KG, which offers a human resource and candidate management software solution (https://www.personio.com/legal-notice/). Data transmitted as part of your application will be transferred using TLS encryption and stored in a database. The sole controller of this data within the meaning of article 24 of the GDPR is the enterprise carrying out this online application process. Personio’s role is limited to operating the software and this recruitment website and, in this context, being a processor under article 28 of the GDPR. In this case, the processing by Personio is based on an agreement for the processing of orders between the controller and Personio. In addition, Personio SE & Co. KG processes further data, some of which may be personal data, to provide its services, in particular for operating this recruitment website. We will refer to this in more detail below.

Access logs (“server logs”)

Each access to this recruitment website automatically causes general protocol data, so-called server logs, to be collected. Error logs

So-called error logs are generated for the purpose of identifying and fixing bugs. This is absolutely necessary to ensure we can react as quickly as possible to possible problems with displaying and implementing content (legitimate interest). As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. When an error message occurs, general data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp upon occurrence of the respective error message and/or specification is collected. These error logs are stored for a period of up to 7 days. There is no right to object to this.
